When you visit or use the Platform, we automatically collect:

  • IP address and approximate geographic location
  • Browser type and version
  • Device type and operating system
  • Pages visited and time spent on the Platform

  • Email address (if requested)
  • RSVP response (attending / not attending)
  • Optional message from the guest
  • Number of accompanying guests

As stated in our Terms and Conditions, you are the data controller for your guests' personal data. einvite acts solely as the data processor for this information.

We use your personal data for the following purposes and on the following legal bases:

  • Creating and managing your account — Performance of contract (Art. 6(1)(b) GDPR)
  • Processing your payment — Performance of contract (Art. 6(1)(b) GDPR)
  • Delivering the Platform service — Performance of contract (Art. 6(1)(b) GDPR)

  • Creating your DEMO LINK and showing its invitation and photo to anyone you share the link with — Performance of contract at your request (Art. 6(1)(b) GDPR)
  • Sending up to three reminder emails about your DEMO LINK while it is valid, only to the email address you entered — Legitimate interest (Art. 6(1)(f) GDPR). You can object at any time by writing to hi@einvite.net

We will never use your personal data for purposes incompatible with those listed above.

5. Guest Data — Your Responsibilities as Data Controller

When you use einvite to collect RSVP responses from your guests, you become the data controller of that guest data. You are solely responsible for:

  • Having a lawful basis for collecting your guests' personal data
  • Informing your guests that their data will be processed via einvite
  • Ensuring that guest data is not used beyond the purpose of event management
  • Responding to any data subject requests made by your guests
  • Deleting guest data when it is no longer necessary

einvite recommends that you include a brief privacy notice on your event page informing guests how their data will be used.

6. Data Sharing & Third Parties

We do not sell or rent your personal data. We share it only in the following limited circumstances:

  • Payment processor (Stripe) — to securely process your transactions. We do not receive or store your card details
  • Hosting, database, image and email providers (including MongoDB and Cloudinary) — to operate the Platform and deliver your invitation
  • Analytics providers — to understand how the Platform is used, with data anonymised or pseudonymised where possible
  • Legal authorities — where required by law, court order, or regulatory obligation
  • Advertising partners (Meta, TikTok, Google, OpenAI, Pinterest and Microsoft) — only after you accept cookies, to measure and improve our advertising. Contact details are hashed (encrypted one way) before they are sent

Providers acting on our behalf process data under data processing agreements (GDPR Article 28). Stripe and our advertising partners may also act as independent controllers under their own privacy policies.

7. International Data Transfers

Where personal data is transferred outside the European Economic Area (EEA), we ensure that appropriate safeguards are in place, including Standard Contractual Clauses (SCCs) approved by the European Commission, or that the recipient country has been deemed adequate by the European Commission.

8. Data Retention

We retain your personal data only for as long as necessary for the purposes outlined in this Policy:

  • Account data — retained for the duration of your account and for 3 years following account deletion, for legal and accounting purposes
  • Event and invitation data, guest lists and RSVP responses — kept in your account so that you can view and download them at any time, until you delete them or ask us to delete them. The public invitation link goes offline 15 days after the event date, but this data stays in your account
  • Unfinished orders and saved invitations (Continue Later) — deleted automatically about 15 days after your last activity. Custom designs that are not purchased are also deleted automatically
  • DEMO LINK — the link, its photo and the invitation data are deleted automatically when the link expires, 72 hours after it was created, unless you buy an invitation; then they are kept with your order. After the deletion we keep only your email address, the design name, the dates and the reminder emails sent, for up to 30 days
  • Payment and billing records — retained for the period required by Romanian accounting and tax law (up to 10 years)
  • Support correspondence — retained for 3 years from the date of last contact

9. Your Rights Under GDPR

You have the following rights under the GDPR or the equivalent data protection law of your country:

To exercise any of these rights, write to hi@einvite.net. We will respond within 30 calendar days. We may need to verify your identity before processing your request.
